Club agreement

RacketSync provides a technology platform that enables Clubs to list court hire services, accept bookings from customers, and receive payments via the Club's own Stripe Connect account.

RacketSync is not a party to the booking contract between the customer and the Club, does not provide court hire services, and does not hold customer funds. To use the platform's payment features, the Club must complete Stripe Connect onboarding and accept Stripe's Connected Account Agreement.

The Club is solely responsible for providing the booked court hire services, including venue access, court condition, equipment, staffing, health and safety, and any on-site customer support.

The Club is responsible for ensuring its listings (court types, opening hours, pricing, cancellation rules, facilities) are accurate and kept up to date.

Customer payments are processed by Stripe as direct charges to the Club's connected Stripe account. The Club is the merchant of record for those transactions and receives funds directly into its Stripe balance, on Stripe's standard payout schedule.

RacketSync does not receive, hold, or remit booking funds. Payment processing fees charged by Stripe are deducted by Stripe from the Club's funds in the normal course.

Matchmaker games settle per seat. For matchmaker bookings, each player is charged individually as an independent direct charge into the same connected Stripe account — the host does not collect on behalf of the group. Each per-seat charge carries its own Stripe processing fee and its own RacketSync application fee, so payouts, refunds, and disputes are tracked seat-by-seat in the Club's Stripe dashboard.

Court-booking commission. RacketSync charges a flat platform fee of 1.75% of the court price per booking, plus VAT where applicable, on every booking processed through the platform.

A fixed £0.79 booking fee per transaction is added to the platform's application fee and is paid by the player at checkout (it is not deducted from the Club's court price). Stripe automatically deducts the combined application fee from the charge and routes it to RacketSync at the time of the transaction. Stripe processing fees are separate and are borne by the Club.

Matchmaker seats. Per-player matchmaker shares are charged independently of the original court booking and carry only the fixed £0.79 booking fee per seat as the platform's application fee — the percentage commission above is not applied a second time, because it has already been collected on the host's underlying court booking.

Subscription. Listing on RacketSync requires an active Club HQ subscription. The subscription fee is £250 per month, plus VAT where applicable, billed monthly via Stripe until cancelled. There is no free listing tier.

The Club's cancellation policy, as displayed on the platform, governs customer cancellations. RacketSync is authorised to initiate refunds against the Club's connected Stripe account on the Club's behalf in accordance with that policy and our refund policy. Refunded court amounts are deducted from the Club's Stripe balance.

Stripe processing fee reimbursement (new). Stripe does not refund its own card-processing fee when a charge is refunded — that fee stays deducted from the Club's connected balance. To keep Clubs whole on every refund RacketSync initiates, RacketSync transfers the proportional Stripe processing fee back to the Club's connected account from the RacketSync platform balance, so the Club nets £0 on a full court-share refund instead of carrying a Stripe-fee shortfall. This applies to direct court cancellations, joiner self-serve cancels, auto-cancelled unfilled matchmaker games, and any refund drained from the platform's refund queue.

The £0.79 per-seat RacketSync booking fee remains non-refundable and is retained by RacketSync in all cases.

Where a Club cancels a confirmed booking (e.g. court closure, double-booking, weather), the Club authorises RacketSync to issue a full refund to the customer from the Club's connected Stripe account. The Club is responsible for ensuring its Stripe balance is sufficient to cover refunds, chargebacks, and disputes.

Joiner self-serve refunds (matchmaker games). Joiners may cancel their own share from the platform up to 24 hours before the court start time. The Club authorises RacketSync to initiate a partial refund of the affected joiner's court share against the Club's connected Stripe account in those cases; the corresponding RacketSync application fee on that seat (currently £0.79 per share) is retained by the platform and is not refunded. The freed seat is automatically released back to the matchmaker pool so it can be re-sold.

RacketSync shares booking data (name, contact details, booking time) with the Club only as needed to deliver the booked service. The Club must handle customer personal data in line with applicable data protection law and may not use it for unrelated marketing without a separate lawful basis.

The Club warrants that it holds all licences, permits, and insurances required to operate the venue and deliver the booked services, and will comply with all applicable laws including health and safety, consumer protection, and tax obligations on its revenue.

As the service provider, the Club is responsible for claims arising from the delivery of the court hire service. The Club agrees to indemnify RacketSync against losses arising from the Club's breach of this agreement, its negligence, or any incident occurring at the venue.

Either party may end this agreement on reasonable notice. Bookings already accepted at the time of termination must still be honoured (or refunded), and RacketSync will reconcile and remit any outstanding payouts after deductions.
